Form I-9 is the record every US employer keeps to show it checked a new hire's identity and right to work. The employee completes Section 1 and the employer completes Section 2. You can open the current I-9 from uscis.gov in BunnyDoc's free Sign PDF tool straight from this page and type your details into its fillable fields before downloading it, all in your browser so the file never leaves your device. On a paper I-9 the signatures must then be handwritten, unless your employer uses an electronic I-9 system.
How to fill in Form I-9
Get the current edition
USCIS says employers must use only the newest version of Form I-9. Download it from uscis.gov/i-9 rather than reusing an old copy.
Employee: complete Section 1 by your first day of work
Enter your name, address, date of birth and contact details, and tick the box describing your citizenship or immigration status. Section 1 must be completed no later than your first day of work for pay.
Employee: sign and date Section 1
On a paper form, print it and sign Section 1 by hand. If someone helped you fill it in or translate it, they complete Supplement A.
Employer: complete Section 2 within 3 business days
The employer examines the employee's original documents from the Lists of Acceptable Documents, records them in Section 2 and signs, no later than the third business day after the employee starts work for pay.
Keep the form; don't send it to USCIS
The employer keeps the completed I-9 for as long as the person works there, and then for 3 years after the date of hire or 1 year after employment ends, whichever is later. It is not filed with USCIS. Supplement B is used later for reverification or rehires.
Can I sign Form I-9 electronically?
It depends on how your employer handles the I-9. USCIS says employers who keep paper Forms I-9 must retain them with the original handwritten signatures. So if your employer uses the paper form, fill it in on screen if you like, then print it and sign by hand.
Employers can instead use an electronic I-9 system with an electronic signature function, but only if the system meets the standards in 8 CFR 274a.2 and the rules in USCIS Handbook for Employers M-274. That is the employer's system, not a signed PDF you create yourself. See the USCIS I-9 questions and answers.
