Freelance Hourly Rate Calculator: what should you charge?

Start from the income you want to take home and work back to the hourly and day rate you need, once you allow for costs, tax, time off and hours you cannot bill.

How the calculator works

  1. 1

    Your take-home pay

Enter what you want to keep in a year, after tax and business costs. It is your salary as a freelancer.

  2. 2

    Costs and tax

Add what the business spends in a year and a rough rate for income tax and social charges on your profit.

  3. 3

    Time you can bill

Take off weeks for holidays and sickness, and the share of your working hours spent on admin, sales and learning.

  4. 4

    Your rate

The yearly amount you need to bill is divided by your billable hours, with a safety margin for quiet months.

Why freelance rates are higher than salaries

A common mistake is to take an employee's hourly pay and charge the same. As a freelancer you pay for things an employer would cover, and you are not paid for every hour you work:

  • No paid holidays or sick days. Most freelancers take 5 to 8 weeks a year off for holidays, public holidays and illness.
  • Unbilled time. Finding clients, writing quotes, invoicing, chasing payments and learning take up a lot of hours. Many freelancers bill 60 to 70% of the time they work.
  • Business costs. Equipment, software, insurance, an accountant, a workspace and your own pension.
  • Tax and social charges that an employer would normally take care of.

The formula

Hourly rate = (take-home pay ÷ (1 − tax rate) + business costs) × (1 + safety margin) ÷ billable hours a year

Billable hours a year = (52 − weeks off) × hours a week × share of hours you can bill

For example, to take home 60,000 with 6,000 of costs, a 25% tax rate and a 10% margin, you need to bill 94,600 a year. Working 40 hours a week for 46 weeks and billing 65% of the time gives 1,196 billable hours, so the minimum rate is about 79 an hour.

Hourly, daily or by the project?

The rate here is the least you should charge to reach your target. Many freelancers quote a day rate or a fixed project price instead. To price a project, estimate the hours, multiply by your rate and add a buffer for changes, then send it with the quote generator. Also check what others in your field and area charge, because the market rate may be higher than your minimum.

This calculator gives an estimate, not tax or financial advice. Tax rates depend on where you live and how your business is set up, so ask an accountant for your own figures.

Freelance rate calculator FAQs

How do I work out my freelance hourly rate?

Add the income you want before tax to your yearly business costs, add a margin for quiet months, then divide by the hours you can bill in a year. The calculator does this for you.

How many billable hours does a freelancer have in a year?

Often between 1,000 and 1,400. A 40-hour week over 46 working weeks is 1,840 hours, but admin, sales and learning usually take a third of that time.

What tax rate should I enter?

Enter a rough overall rate for income tax and social charges on your profit. It depends on your country, income and business type, so ask an accountant if you are not sure.

Should I add VAT or sales tax to my rate?

The rate shown is before VAT, GST or sales tax. If you are registered, add the tax on top when you invoice. Use the VAT calculator to work it out.

How do I turn an hourly rate into a day rate?

Multiply the hourly rate by the hours in your working day. The calculator shows a day rate based on your hours a week divided by five.

Is my data stored?

No. The calculator runs in your browser and nothing you enter is sent to BunnyDoc.
