What to include on an invoice
An invoice is a request for payment, and it is also a record you and your client may need later for accounts and tax. A clear invoice gets paid faster. Most invoices should include:
- The word “Invoice” and a unique invoice number, so it can be referenced in payments and records.
- Your business details: name, address and contact email, plus your tax or VAT number if you are registered.
- Your client's details: the person or company you are billing and their address.
- The issue date and the due date, or the payment terms that set it.
- A line for each product or service with a clear description, quantity, rate and amount.
- Subtotal, any discount, tax and the total, and the balance due if part has already been paid.
- How to pay you: bank details or a payment link, and what reference to use.
What a valid invoice must show depends on your country and whether you are registered for VAT, GST or sales tax, so check your local rules or ask your accountant.
Payment terms explained
Payment terms tell your client when payment is due. “Net” followed by a number means the full amount is due that many days after the invoice date.
TermWhat it means
Due on receipt
Payment is expected as soon as the client receives the invoice.
Net 7
Due 7 days after the invoice date. Common for small jobs and freelancers.
Net 15
Due 15 days after the invoice date.
Net 30
Due 30 days after the invoice date. The most common term between businesses.
Net 60
Due 60 days after the invoice date. Often asked for by large companies.
Shorter terms help your cash flow, so agree them with your client before you start the work and put them on every invoice.
Invoice numbering tips
- Make every number unique. Never reuse a number, even if an invoice is cancelled; issue a credit note instead.
- Keep numbers in order. A simple sequence such as INV-0001, INV-0002 makes gaps easy to spot. This tool moves on to the next number for you after each download.
- Add a prefix if it helps. A year (2026-001) or a client code (ACME-001) can make invoices easier to find, as long as the sequence stays consistent.
- Use the invoice number as the payment reference, so you can match payments to invoices quickly.
