How to fill in and sign RTB tenancy agreement

  1. Check the template fits your tenancy

It is for new private residential tenancies from 1 March 2026. It does not cover Approved Housing Body, cost rental or Student Specific Accommodation tenancies.

  2. Basic terms and payments (Parts A and B)

Enter the landlord, agent and tenant details, the property, whether the term is fixed, the start date, deposit and utilities, then the rent, how often and how it is paid.

  3. Read the responsibilities (Parts C and D)

These set out the tenant's and landlord's obligations under the Residential Tenancies Act 2004. Do not change them.

  4. Additional terms, termination and service (Parts E to H)

Add any extra terms that do not conflict with the Act, review the termination rules and notice periods, and say whether notices may be served by email.

  5. Sign (Part J) and complete the inventory

Each landlord and tenant signs and dates the agreement and any extra pages. Fill in the inventory in Schedule 1 together.

What you need before you start

  • Full names and contact details of every landlord and tenant.
  • The property address, rent, deposit and start date.
  • Agreement on any additional terms.
  • The RTB template page, which also has a sample inventory and condition report.

Can we sign the tenancy agreement electronically?

Yes, if both sides agree. Clause 45 of the template says: "The Landlord and the Tenant agree that this Agreement and any amendments to it may be entered into and signed electronically." If either of you does not agree, cross out clause 45 and sign in wet ink. You can sign with Sign PDF; see also whether e-signatures are legal.

Common mistakes

  • Using the template for an Approved Housing Body, cost rental or student accommodation tenancy.
  • Adding terms that conflict with Parts C and D or the Residential Tenancies Act 2004.
  • Not signing every additional page.
  • Forgetting to register the tenancy with the RTB.
