How to write a builder or tradesperson invoice

  • Show labour and materials separately; customers and tax rules often expect it.
  • Reference the quote you are billing against, and list any variations agreed since.
  • Add the site address, especially if you work on several jobs for the same customer.
  • Check if your country has special tax rules for construction, such as reverse charge VAT or withholding schemes.

Not sure what to charge? Work out your minimum rate with the freelance rate calculator, and agree the price first with the quote generator.

What an invoice must include in New Zealand

  • Over $200 up to $1,000: the above plus the seller's GST number, and either the GST-exclusive amount, GST amount and GST-inclusive amount, or the GST-inclusive amount with a statement that it includes GST.
  • Over $1,000: the above plus the buyer's name and at least one identifier (address, phone number, email, trading name, NZBN or website) where the buyer is GST-registered.
