How to write a builder or tradesperson invoice

  • Show labour and materials separately; customers and tax rules often expect it.
  • Reference the quote you are billing against, and list any variations agreed since.
  • Add the site address, especially if you work on several jobs for the same customer.
  • Check if your country has special tax rules for construction, such as reverse charge VAT or withholding schemes.

Not sure what to charge? Work out your minimum rate with the freelance rate calculator, and agree the price first with the quote generator.

Not registered for tax
A trader who is not registered for VAT should not issue an invoice showing an amount of VAT. If they do, they must pay the VAT shown and can face penalties.
Small invoices
Revenue's invoice guidance lists no general low-value simplified VAT invoice; VAT invoices are mainly required for supplies to other businesses, public bodies and exempt-activity customers rather than to private consumers.
Payment terms
30 days after the invoice is received if no date is agreed. B2B terms over 60 days must be expressly agreed and not grossly unfair; public authorities must pay within 30 days.
Late payment
European Communities (Late Payment in Commercial Transactions) Regulations 2012: in B2B and business-to-public-authority transactions the supplier is automatically entitled to statutory interest and fixed compensation, without sending a reminder. Fixed compensation: €40 for invoices up to €1,000; €70 for over €1,000 up to €10,000; €100 for over €10,000.
Keep records
Generally 6 years (longer for some property records or while an inquiry or appeal is open).
