How to fill in and sign Form 4A
Tenant and landlord details (sections 1 to 3)
Enter the names of all joint tenants and the property address, then the landlord's name and contact address, and the agent's details if an agent is acting.
Current rent and dates (questions 4.1 to 4.4)
Give the current rent and how often it is paid, the tenancy start date, the date of the last rent increase, and the date of the first increase after 11 February 2003 if there was one.
Proposed rent and start date (questions 4.5 and 4.6)
Enter the new rent and the date it starts. It must be at least two months after you serve the notice, at least 52 weeks after the tenancy began or the last increase, and at the start of a rent period.
Included charges (question 4.7)
If the rent includes council tax, water, fuel, communication services or fixed service charges, list the current and proposed amounts.
Sign and date
The landlord or agent signs and dates the notice. Joint landlords can each sign or one can sign for all. Sign any extra sheets too.
Serve it on the tenant
Use the method in the tenancy agreement if there is one; otherwise hand it to the tenant, leave it at their address or send it by registered post. Keep proof of service.
What you need before you start
- The full names of every tenant and the property address.
- The tenancy start date and the date of the last rent increase.
- The new rent and a start date that meets the timing rules.
- The form from GOV.UK. Social landlords use Form 4 instead.
Can I sign Form 4A electronically?
Yes. The form itself says: "You can complete and sign this notice electronically or by hand." You can add your signature with Sign PDF. Electronic signing does not change the service rules: you must be able to show the notice was served, and email only counts where the tenancy agreement allows it. See whether e-signatures are legal.
Common mistakes
- Giving less than two months' notice.
- Starting the new rent within 52 weeks of the tenancy start or the last increase.
- A start date that is not the first day of a rent period.
- Leaving out a joint tenant's name.
