How to write a freelancer invoice
- Describe each deliverable so the client's accounts team can match it to the project without asking.
- Bill extra work separately and say who agreed it, so scope changes do not turn into disputes.
- Invoice as soon as a milestone is delivered rather than at the end of the month.
- Agree your payment terms and late fee in your contract or quote before you start.
Not sure what to charge? Work out your minimum rate with the freelance rate calculator, and agree the price first with the quote generator.

Invoice rules in Ireland at a glance
- Tax
- VAT, standard rate 23%. See all rates and the VAT calculator
- Tax number
- VAT registration number
- Not registered for tax
- A trader who is not registered for VAT should not issue an invoice showing an amount of VAT. If they do, they must pay the VAT shown and can face penalties.
- Small invoices
- Revenue's invoice guidance lists no general low-value simplified VAT invoice; VAT invoices are mainly required for supplies to other businesses, public bodies and exempt-activity customers rather than to private consumers.
- Payment terms
- 30 days after the invoice is received if no date is agreed. B2B terms over 60 days must be expressly agreed and not grossly unfair; public authorities must pay within 30 days.
- Late payment
- European Communities (Late Payment in Commercial Transactions) Regulations 2012: in B2B and business-to-public-authority transactions the supplier is automatically entitled to statutory interest and fixed compensation, without sending a reminder. Fixed compensation: €40 for invoices up to €1,000; €70 for over €1,000 up to €10,000; €100 for over €10,000.
- Keep records
- Generally 6 years (longer for some property records or while an inquiry or appeal is open).
